Overview

We are seeking a highly skilled and detail-oriented Senior ADP Payroll and Benefits Specialist to join our team on a 1-year contract basis. This role will focus on managing payroll and benefits administration for a multi-location workforce, leveraging ADP software to ensure accurate and timely payroll processing, compliance with federal and state regulations, and effective management of employee benefits programs. The ideal candidate will have strong expertise in ADP systems, payroll processes, benefits administration, and regulatory compliance.

Responsibilities

Key Responsibilities:

  • Payroll Processing and Management:
    • Oversee end-to-end payroll processing using ADP Workforce Now (or similar ADP systems) for employees across multiple locations and jurisdictions.
    • Ensure timely and accurate processing of bi-weekly/monthly payroll, including regular wages, overtime, bonuses, commissions, and additional pay adjustments.
    • Manage and process payroll deductions for taxes, benefits, retirement contributions, garnishments, and other deductions.
    • Reconcile payroll reports, resolve discrepancies, and make necessary adjustments for errors or omissions.
  • Benefits Administration:
    • Administer employee benefits programs, including health insurance, dental, vision, life insurance, 401(k), flexible spending accounts (FSAs), and other voluntary benefits.
    • Work with benefits brokers and insurance providers to ensure accurate enrollment, changes, and terminations of benefits.
    • Ensure compliance with benefits regulations (e.g., ERISA, ACA, COBRA) and assist employees with benefit-related questions and claims.
    • Administer open enrollment process, including communication, benefits selection, and data entry.
  • Compliance and Reporting:
    • Ensure payroll and benefits processes comply with federal, state, and local regulations, including tax filing requirements (e.g., 941s, state unemployment filings).
    • Prepare and file monthly, quarterly, and annual payroll tax reports, ensuring accuracy and compliance.
    • Coordinate with external auditors for payroll and benefits-related audits, ensuring accurate reporting and documentation.
    • Ensure accurate reporting for benefits-related government filings (e.g., Form 5500, ACA compliance reporting).
  • Employee Support and Inquiries:
    • Act as a key point of contact for employees regarding payroll and benefits questions, including issues with pay, deductions, benefits enrollment, and claims.
    • Troubleshoot and resolve payroll or benefits-related discrepancies in a timely and professional manner.
    • Provide training and support to employees regarding payroll processes and benefits programs.
  • System Maintenance and Data Integrity:
    • Maintain accurate employee payroll and benefits data in ADP, ensuring updates for new hires, terminations, salary changes, tax withholding, and benefits elections.
    • Assist in optimizing ADP software to streamline payroll and benefits processes, ensuring data integrity and automation where possible.
  • Ad-Hoc Reporting & Special Projects:
    • Generate ad-hoc payroll and benefits reports for internal stakeholders, including management and HR.
    • Participate in or lead special projects, such as benefits audits, system upgrades, or payroll process improvements.

Qualifications

Qualifications:

  • Experience:
    • 5+ years of experience in payroll, implementation and benefits administration, with at least 3 years working directly with ADP Workforce Now.
    • Strong knowledge of payroll processing, benefits administration, and compliance with federal, state, and local regulations.
    • Experience managing both payroll and benefits functions, ideally in a multi-state or multi-location organization.
  • Skills:
    • Proficient in ADP systems (ADP Workforce Now, ADP Run, or similar ADP software), and Microsoft Excel.
    • Strong understanding of payroll-related tax compliance (FICA, FUTA, state and local taxes).
    • Knowledge of benefits plans, regulations (ERISA, ACA, COBRA), and open enrollment processes.
    • Exceptional organizational and problem-solving skills with a high attention to detail.
    • Strong communication skills with the ability to work with employees at all levels.
  • Education:
    • Bachelor’s degree in Accounting, Finance, Human Resources, or a 5 year’s experience in payroll related field (preferred).
  • Certifications:
    • Certified Payroll Professional (CPP) and/or Certified Benefits Professional (CBP) certifications are a plus.
